Creating and using your task library

You can save tasks and phases into a task library so they are easily added to templates and plans going forward. This guide will walk you through setting up and using the task library.

Your task library in Arrows can be used to add pre-saved tasks or phases (groups of tasks) into existing plans - removing the time and energy your onboarding teams have to spend customizing plans.

These same tasks and phases can be accessed when editing or setting up new templates - saving even more time and ensuring quality across your templates.

Once you set up a new library, you can save tasks and phases it to it from your existing plans and templates! You can also add new tasks or phases directly in the library.


Access the task library page

To create (or edit) your task library…

  1. head to the task library page in Arrows
  1. and, select Create new library
 

Name and create your library

To start you’ll need to…

  1. name your library (this can be used for search purposes later)
  1. add a description to differentiate between your different libraries
  1. and, select Create library to save
 

Edit your library

Once you have created the library, you’ll see the options to…

  1. edit the name and description if needed
  1. set the library status to Active so it can be used (libraries are created in draft mode)
  1. toggle between edit and view (like you are used to in template editing)
  1. add a new phase(s)
  1. add a new task(s)

Note - this is very similar to template editing functionality minus all the template-level settings

You can also save tasks and phases from existing templates or plans directly into your library to drastically speed up this process!

 

Save a phase or task to a library

Once you have created a library, you can save tasks or phases to it from other templates and/or plans!

In this example, we are looking at a pre-built phase of tasks for setting up reports.

To add this to our library you’ll need to have your template or plan in edit mode and then…

  1. select the menu option from the phase
  1. select Save to library to continue

Note - the same options to save to library are available when you are looking at individual tasks!

 

Select the correct library

Next, you’ll want to select the library to save your phase or task to. Start by…

  1. choosing the correct library from the dropdown menu
  1. select Save to library to continue
 

Confirm and continue

Once the phase or tasks have been successfully added to your library, you’ll see a confirmation page with the options to…

  1. head back to your template (or plan) to continue editing
  1. go to your library to confirm your saved phases or tasks
 

View saved phases or tasks in your library

From the option above, if you select Go to library you’ll be able to see your newly added tasks or phases.

In this example, the phase for Reports is now added to our Onboarding tasks library!

 

Add a phase from your library to an existing plan or template

The next time you are editing a template or plan, you’ll see the option to + Phase when you hover your mouse between any two phases.

Once your library opens, you’ll see the option to…

  1. search for your phase by name (or library name)
  1. select the phase(s) to add
  1. and, select Add to insert that phase directly into your plan
 

When you head back to the plan or template, you’ll see the newly added phase - in this case for Reports!

 
 

Add a task from your library to an existing plan or template

The steps above can also be followed to add an individual task from your library (instead of an entire phase)

When you are editing a plan or template, you’ll see the option to + Task when you hover your mouse between any two tasks!

From there you will see the same library options as above to search for, select, and add the appropriate tasks directly into your plan!

 

You will save A LOT of time later if you invest in setting up a few libraries now.

Your teams can quickly access and add tasks or phases to live plans or any templates they are editing with ease!

In addition to selecting tasks and phases from the library - you’ll also see the option to add a task or phase from…

  1. any active template
  1. scratch directly in that drawer
